Monday.com CRM Restructure – Leads Board, Deals Pipeline, Automations & Reporting Dashboards

Project Description

We’re looking for an experienced Monday.com developer to fully restructure our CRM from scratch. Right now we’re running a messy bucket-based lead system with multiple boards doing the same job, and we need it properly rebuilt.

Here’s what the project covers:
One unified Leads board to replace the current fragmented setup. Columns needed include full contact info, lead status stages (New Lead through to Closed Lost), lead source tracking (Paid Social, Paid Search, Organic, Referral, etc.), event interest tracking (Glasgow, Manchester, Dubai, Webinar etc.), qualification notes and estimated value, and a mandatory closed lost reason dropdown that triggers when a lead is marked lost.

One Deals board that only receives leads once a contract has been sent. This needs deal stages (Contract Sent through to Closed Won/Lost), a linked lead column, mirrored source and event fields from the lead, and its own closed lost reason dropdown.

Automations to connect the two boards – when a lead reaches Contract Sent status, a deal should be automatically created in the Deals board with all key fields carried over. Closed Lost on either board should prompt the rep to fill in a reason.

Three reporting dashboards – Marketing (leads by source, leads by event, conversion rates, revenue attribution), Sales (deals by stage, forecast, win rate, rep performance, avg deal value), and Activity (calls, emails, meetings, tasks per rep with conversion ratios).

A standardised discovery call template embedded into the activity workflow so every rep follows the same qualification process. This needs to be structured and reportable, not just free-text notes.

We also have two website enquiry forms feeding into the CRM currently – one general enquiry form and one event-specific showcase form that pre-populates the event field based on which page the form was submitted from. You’ll need to understand how this integration works and advise on how to preserve or rebuild it within the new structure.

Finally, we’d like your input on whether Monday.com can support automated email sequences triggered by lead status changes, and whether email history (subject line, send time, campaign trigger) can be stored against each lead record.
